Dear Parents of Students who have Individualized Education Plans (IEPs),

We know that this is a trying time for all of us, and we look forward to working together to serve our students with IEPs. We realize that as parents you know your students and circumstances best. Our goal is to provide you the option of access to the services in your child’s IEP as well as the general education curriculum. 

We have developed a plan that we believe will meet most of the IEP needs for your children with full awareness that these IEPs were developed to be implemented in a physical school setting under the full time guidance of trained professionals, which is no longer the case. Our goal is meet each of our families where you are in this difficult situation and provide the individual support that you need to the best of our ability. 

You will be hearing from your student’s Case Manager this week to discuss the options to serve your child during distance learning. Here are some important things for you to know:

• All Special Education Teachers will create a classroom contact site using Class Dojo or Google Classroom.
• Each Special Education Teacher will have virtual office hours where you and/or your student can choose a check-in time, at least weekly.
• The district has selected a limited set of resources at this time but will be looking at expanding the options as we move forward. 
• We are working on providing Chromebooks and internet solutions to students in need, but all of our resources will also have an offline option available if needed.
• Service minutes on an IEP reflect the total amount of time spent on that content. If you feel that it is too much time in the home setting, please let your case manager know. We want to be flexible with the amount of work we ask for and tailor to individual needs.
• Students and families will receive direction for how to access each goal area of the IEP.
• Students who receive speech services will be hearing from their SLP regarding how those services will be delivered.

We understand that this is a challenging time for all of us, and we want you to know that we care about you and are here for you and your family. We invite you to communicate with your school’s Special Education teacher at any time and we will work together to come up with a plan that is workable for your family.

Estimados padres de estudiantes que tienen Planes de Educación Individualizado (IEP por sus siglas en inglés):

Sabemos que este es un momento difícil para todos nosotros, y esperamos trabajar juntos para servir a nuestros estudiantes con IEP. Nos damos cuenta de que, como padres, ustedes conocen mejor a sus estudiantes y sus circunstancias. Nuestro objetivo es brindarle la opción de acceso a los servicios en el IEP de su hijo/a, así como en el plan de estudios de educación general. 

Hemos desarrollado un plan que creemos que satisfará la mayoría de las necesidades de IEP, para sus hijos con plena conciencia de que estos IEP se desarrollaron para implementarse en un entorno escolar físico, bajo la guía a tiempo completo de profesionales capacitados, lo cual ya no es el caso. Nuestro objetivo es conocer a cada una de nuestras familias, en las que se encuentra esta difícil situación y brindarles el apoyo individual que necesitan, de la mejor manera posible. 

Esta semana tendrá noticias del gerente de caso de su hijo/a, para hablar sobre las opciones para atender a su hijo/a durante el aprendizaje a distancia. Aquí hay algunas cosas importantes que debe saber:

• Todos los maestros de educación especial crearán un sitio de contacto del salón de clase, usando las plataformas “Class Dojo” o “Google Classroom”.
• Cada maestro de educación especial tendrá un horario de oficina virtual donde usted y/o su estudiante pueden elegir un horario para hacer revisiones, al menos semanalmente.

Office Hours

Dear NAMS Families,

 I hope this (long) letter finds you and your loved ones doing well.  We are certainly in a time of stress, unfamiliar territory, and new style of school.  I hope this letter helps clear up some common questions we are getting. If not, please feel free to email me at stephanne.seals@albany.k12.or.us.

 Distance Learning and Materials

First, I’ll try to explain what Distance Learning will look like, and our process for follow up at NAMS.  This is what you need to know:

• Workbooks have been sent out to the mailing addresses of all middle school aged students. If your mail address has changed, or you don’t receive a workbook by Monday, April 13, then please email Penny Knowlton at penny.knowlton@albany.k12.or.us
  • 6th and 7th grade – students will receive one workbook for their grade level. Each workbook has learning for Math, Science, Social Studies, and Language Arts (plus other cool content). These workbooks are where the graded assignments will come from for the remainder of the school year.
  • 8th grade – students will receive several items: a Math workbook, a Language Arts workbook, a Reading workbook, a Social Studies packet, and a Science packet. There will be ongoing mailings to 8th grade students as Social Studies and Science units are developed. All graded assignments for the remainder of the school year will be found in these workbooks and packets. 

 Process for Work Assigned

Work will be assigned in the four core subjects (Math, Science, Language Arts, and Social Studies) each week.  This is the only work that is required and will be given a grade. There will be one assignment per week/per subject. How does this work?

• The student will do the work and try to submit their finished product by Friday of that week. Once submitted, the teacher will mark it in the gradebook. Assignments that are not completed will be graded “Z” in the gradebook until they are submitted. Completed assignments will receive a “1” score.
• Submitting Assignments – The current methods to submit the assigned work are:
  • Google Classroom
  • Email – take a picture
  • Telephone call – parent says that it is completed or student reviews work with a teacher

 What if you don’t have Internet or a Device? – We know that we have a fair number of families that don’t have the ability to submit assignments electronically. Each student will receive a telephone call from a staff member each week. The purpose of this phone call is to check in with the student, answer any questions about the assignments for that week, and to verify that assignments are completed.

 This process will then repeat itself week after week until the end of the school year. 

 Technology

We have received requests for technology from some families. The district is distributing Chromebooks to students as quickly as possible. Phase 1 is to get devices into the hands of high school students because of graduation requirements.  We are almost done with that process. Phase 2 is to get devices into the hands of students that receive Special Education and English Language Learner services. I’m not yet sure what that will look like. Phase 3, depending on how many devices are left in the District, MAY be a middle school checkout of chromebooks.

 Special Education and 504 Students

Case managers for students receiving Special Education services will be reaching out to their students.  They will communicate how Specially Designed Instruction will be delivered. This is such a different type of learning environment. We understand that adjustments will need to be made. If you have questions about this, you can email Brian Sikora at brian.sikora@albany.k12.or.us.

 Students who receive services through a 504 Plan will be contacted by their case managers, if they have not already. 504 Plan case managers are Debbie Fifield for last names A-L and Amanda Peterson for last names M-Z. Many of the 504 Plans have in-class accommodations that do not require anything for Distance Learning.  However, if there is something that your student needs, please contact that case manager. Locker Cleanout

Middle School administrators are working on a plan for students to retrieve their personal belongings. This will be a little complicated since we are still under Social Distancing orders.  With 580 students, we thank you in advance for your patience and flexibility. We will create a plan that allows for students to retrieve their items in the safest way possible for you and our staff. As the plan is solidified, I will let our NAMS community know the details.

 In Closing

We thank you in advance for your patience and flexibility as we work through an entirely new way to conduct school. We have not been through anything like this in our lifetimes. The closest thing I can think of is 9/11 or what Katrina did to Louisiana and other Gulf Coast areas. Here is an interesting and applicable quote from some teachers who went through Hurricane Katrina. I don’t have the source, but still found it to be something we need to keep in mind. Our kids are incredibly resilient.

     “Hurricane Katrina taught the teachers on the Gulf Coast that an interrupted year is not the end of the world, It’s OK if you don’t get to cover all of the content. It’s OK if your grades are inflated because you can’t test as normal. It’s OK if your students are not able to complete the coursework as assigned. We worried that missing part of the year would have lasting effects, but it didn’t. Our Katrina Kids are doctors, lawyers, teachers, hairdressers, nurses, business owners, engineers, you name it-they are doing it, all over the world. Don’t sweat what is probably insignificant, but embrace the opportunity to stay connected with your students in order to build relationships and to reinforce a sense of normalcy for them. Developing skills for the next level of success takes many forms, so don’t worry, you’ve got this!”

Proceso de trabajo asignado

Las tareas que no se completen se calificarán con una “Z” en el libro de calificaciones hasta que se presenten. Las tareas completadas recibirán una puntuación de “1”.
• Envío de asignaciones: los métodos actuales para enviar el trabajo asignado son:
• Aula de Google
• Correo electrónico: toma una foto
• Llamada telefónica: el padre dice que se ha completado o que el alumno revisa el trabajo con un maestro

¿Qué pasa si no tienes Internet o un dispositivo? – Sabemos que tenemos un buen número de familias que no tienen la capacidad de enviar tareas electrónicamente. Cada estudiante recibirá una llamada telefónica de un miembro del personal cada semana. El propósito de esta llamada telefónica es verificar con el estudiante, responder cualquier pregunta sobre las tareas de esa semana y verificar que las tareas se hayan completado.

Este proceso se repetirá semana tras semana hasta el final del año escolar.

Tecnología

Hemos recibido solicitudes de tecnología de algunas familias. El distrito está distribuyendo Chromebooks a los estudiantes lo más rápido posible. La fase 1 es poner los dispositivos en manos de los estudiantes de secundaria debido a los requisitos de graduación. Ya casi hemos terminado con ese proceso. Dear Families,

I would like to share the most recent information that I have based on the Oregon Department of Education guidance and to provide you with our most current resources. It might be easiest to think of this in three phases:

Phase 1: School before the closure:

Quarter 3 ended shortly after we closed schools. We have asked middle and high school teachers to review their grades for that period and to record a grade of Pass for any student who had met the minimum requirements and to contact any students who earned a No Pass grade for Quarter 3. Those students will work with their teacher to make up any work needed to receive a grade of Pass.

Phase 2: Supplemental learning opportunities (through April 10):

We recognize that being responsible for students completing school work may not be a realistic priority for a growing number of families at this time. We also know that structure is important, so we are providing families with optional activities to keep our students’ minds active. Optional activities will be offered in two ways:

-There are resources posted for grades K-8 on the district web page. As of today, grades K- 5 have daily plans that you can use as a resource for your students. Grades 6-8 will have a very similar resource document starting on Monday, April 6th. Until then, there are links for individual resources. Here’s the link to these resources that are posted on the district website, supplemental resources site.

-All K-8 families will be receiving workbooks. These workbooks have been shipped to the home address that was on file before the school closure. If your address has changed, please email Penny Knowlton at penny.knowlton@albany.k12.or.us to update that information. We want to make sure every student receives their workbooks, please do not start using them until April 13th. Students in Grade 8 will also receive packets in the mail for Science and Social Studies.

All activities in the workbook and online are provided as helpful resources. Students will not turn any of this work in at this point and it will not be graded.

Phase 3: Distance Learning (Beginning April 13)

We will be moving to “Distance Learning,” on April 13th. In this phase, students will be assigned parts of their workbooks or packets that will be turned in to be graded. We are working to keep graded assignments to a minimum and focused on the most important skills and standards students need to learn and be prepared for the next school year. Students will receive a grade of Pass or No Pass for their work during Quarter 4. All assignments will be listed on the district’s website and duplicated on each teacher’s Google Classroom page. We recognize that all families do not have access to reliable internet or may have devices that need to be widely shared. The district has currently prioritized the distribution of ChromeBooks to high school students because they earn credit and need to stay on track for graduation. Once high school needs are met, we will deeply review the needs of other families in the district. The graded activities will not require the use of the internet but we do encourage you to let us know about any technology needs you have through this online technology survey.

As we continue to develop this move to a different kind of schooling, we will have more details to share with families about how to turn in this work and what will be expected of your student during this time. The state has closed schools until April 28th but with the change to “Distance Learning,” we are anticipating that the closure may last longer. We will share any new information as soon as we receive it.
